Salary: £28,000

Working Hours: Monday-Friday 9am - 5.30pm (UK time zone). Some evening and weekend availability may be expected, depending on the needs of prospective families. We welcome international applicants - this is a fully remote position open to candidates worldwide.

Summary:

Minerva Virtual Academy (MVA) is the UK’s fastest-growing online school, delivering transformative education to students aged 11–18 across the UK and globally. As we support more students with diverse needs, we are seeking a highly organised and empathetic Admissions Assistant to join our growing team.

In this role, you will be the operational backbone of our EHCP and Local Authority admissions pipeline. You will support the Admissions Manager by ensuring every inquiry is handled with speed, accuracy, and compassion. You will play a vital role in navigating the complex admissions journey for families and Local Authorities, ensuring that administrative processes are seamless, compliant, and supportive. If you are detail-oriented, tech-savvy, and motivated by a desire to help children underserved by traditional systems, this is your chance to make a real impact.

Work Environment

MVA offers a dynamic, rewarding, and exciting work environment unlike other schools or educational environments. The role presents a remarkable opportunity for the right candidate to be part of a fully remote team passionate about leading change in the education sector.

Key Responsibilities

  • Support the Pipeline: Assist in the day-to-day management of the EHCP and Local Authority admissions pipeline, ensuring every inquiry is tracked, organised, and moved forward with urgency.

  • Be a Reliable Point of Contact: Provide prompt, joyful, and empathetic communication to parents, Local Authorities, and educational stakeholders, acting as the first line of support for incoming queries.

  • Master the Admin: Maintain meticulous records in our School CRM and iSAMS, ensuring that data is clean, accurate, and ready for statutory reporting and team handovers.

  • Coordinate Consultations: Schedule high-level discovery meetings and triage calls, ensuring all parties are prepped and expectations are aligned.

  • Protect Compliance: Support the Admissions Manager in preparing, writing and filing formal consultation documentation, helping to ensure responses meet strict 15-day statutory timelines.

  • Bridge the Gap: Assist in the meticulous handover of student files from Admissions to the internal school SEND and Pastoral teams, ensuring a smooth transition for new enrollments.

  • Think Smart, Work Smarter: Identify opportunities to streamline administrative workflows and reduce repetitive tasks, helping the team operate with maximum agility.

  • Keep It Tight: Maintain our 'Inbox Zero' standard—because in SEND admissions, speed and clarity are essential to supporting families through high-stress transitions.

Requirements

  • Mission-Driven: A passion for helping children who are currently underserved by the education system.

  • Organisational Excellence: Exceptional administrative skills with a high level of integrity and attention to detail.

  • Communication Skills: Outstanding interpersonal abilities, with a professional yet empathetic demeanour in both written and telephonic interactions.

  • Tech-Savvy: Comfortable using CRM platforms, Google Suite, and database systems to manage sensitive information.

  • Resilience: The ability to work efficiently in a fast-paced environment, managing competing priorities while maintaining a high standard of accuracy.

  • Collaborative Spirit: A proactive attitude towards team collaboration and professional growth.

  • SEN Knowledge: Previous experience in educational administration, SEND environments, or Local Authority offices.

Desirable

  • Experience with iSAMS, Canvas, or similar school management systems.

  • A working knowledge of the UK SEND Code of Practice (2015).

  • Experience in high-volume, data-heavy administrative roles.

Candidate requirements

  • This role offers the freedom to work from wherever you live! We meet up in person four times a year in London, which is a great way to connect with colleagues face-to-face. Travel and accommodation for these meetups are self-funded.

  • As this is a remote role, you will be required to have a suitable home-working set-up which should include a good internet connection. This is the responsibility of all employees.

  • All remote employees are required to agree to our policies, including agreeing to cyber security software.

  • MVA is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. Applicants will be required to undergo child protection screening appropriate to the post, including checks with past employers and the Disclosure and Barring Service (DBS). As part of our Safer Recruitment Policy, online searches will also be carried out as part of due diligence checks ahead of any interviews.

World-class virtual schooling built on personal mentoring and community, run by teachers from the UK's top schools, and proudly accredited by the Department for Education

We are the perfect school for modern times - combining smart technology and engaging online resources with one-to-one support, active group learning and exciting multi-disciplinary projects.

We offer pupils the flexibility to learn from the comfort of their home, anywhere in the world, while ensuring they develop the social skills required to live fulfilling lives and succeed in the workplaces of the future.

The skills we champion are self-sufficiency, collaboration, problem-solving, creative and critical thinking, leadership, and mindfulness.

We operate term dates broadly in line with those in the independent school sector.

Our curriculum for Years 7 and 8 takes advantage of Key Stage 3's flexibility. Alongside the foundational curriculum, students encounter a diverse array of topics. The key stage 3 curriculum combines the Inner core subjects of English, Maths, and Science (Cambridge Lower Secondary) and the outer core is made up of History, French, German, Spanish, Global Perspectives, Digital Literacy, PSHE, Classical Civilisation, Computing, Music and Art & Design.

Pupils commonly study between 5 and 9 subjects in Years 9-11 and 3 - 4 subjects in Years 12-13. These include a combination of the core subjects: Maths, English Language, English Literature, Biology, Chemistry and Physics - and electives: Geography, History, Business Studies, Psychology, Global Citizenship, Computer Science, French, Spanish, Art and Music. All of our courses (with the exception of Psychology, Art and Music) are IGCSEs awarded by either Cambridge or Pearson Edexcel.

How Pupils Learn

Minerva Virtual Academy is underpinned by ā€˜four pillars’. These are: a virtual learning platform, live lessons, mentoring and community. As part of this offer, all pupils receive weekly one-to-one mentoring sessions and, through the virtual learning platform, can communicate with their mentors at any time. Community plays a key role at Minerva Virtual Academy. Pupils attend weekly assemblies and can participate in a wide range of after-school clubs.

The curriculum at Minerva Virtual Academy is delivered through a ā€˜flipped learning’ model. This involves pupils undertaking interactive self-study on the virtual learning platform before attending live lessons.

Alongside the taught curriculum, pupils participate in an extensive well-being programme. Designed to support pupils’ personal and academic growth, wellbeing sessions help pupils manage their own health, relationships, emotional intelligence and communication skills.
