How to evidence SEND support for Ofsted reports
Ensuring you have all the documentation you need to evidence SEND support ready ahead of an Ofsted inspection takes a huge amount of pressure off when you get the call.
This article explores what evidence you need for Ofsted, how you can provide it and how this links to your inclusion strategy.
What do you need to evidence for Ofsted?
When it comes to assessing inclusion at your school, Ofsted want to see:
-
Early identification and intervention
-
That the right support is provided
-
What progress has been made as a result
-
Inclusion across school life
They want to see whether support is improving outcomes, rather than simply checking that documents exist 鈥 so having records of support provision in the same place as records of progress makes this easier.
Ofsted and your inclusion strategy聽
The Department for Education guidance states that once you have published your inclusion strategy, Ofsted will take it into account and assess how well:聽
-
Leaders ensure the inclusion strategy is embedded in practice聽
-
Staff are equipped to deliver it聽
This makes it even more essential you can evidence the support in place 鈥 and know how this links to your inclusion strategy.

How to evidence SEND support for Ofsted聽
Firstly, your SEND register should be accurate and up to date, with regular reviews.听
Having general attendance, behaviour, exclusion, and participation data for pupils with SEND is also a good starting point, including any concerns and actions taken as a result of these.听
Targeted support聽
Ofsted will likely also want to see evidence that any Education, Health and Care Plans (EHCPs) have been implemented and are reviewed as needed.听
In terms of targeted support for pupils who have SEN, you should be able to provide documentation that demonstrates the provision in place, the impact of the provision (taking into account the pupil鈥檚 starting point), any changes made, when the plan for this student has been reviewed and when it is due for review again.听聽聽
You should also have up to date records of the Assess, Plan, Do, Review cycle, showing how support has been evaluated and changed as a result.
Funding and resource allocation聽
As well as details of the support in place, it鈥檚 also good to include a record of the resource allocated to each provision聽
This might be a direct financial cost, staff time or a mix of both, but ultimately, doing this provides evidence of how you鈥檝e used funding 鈥 such as the inclusive mainstream fund, which Ofsted will be taking into account from September.听
Early intervention聽
Ofsted want to see signs of early identification and intervention 鈥 where formal assessments have taken place, this means evidencing referrals, assessment information and screening results.听
Involving pupils, parents and wider services聽
You should also have records of meetings with parents and carers and how their views influenced provision, as well as evidence of how students have contributed to decisions about the support they receive.听
Evidence of collaboration with wider services such as educational psychologists, speech and language therapists and other health services is also expected, in line with strong partnerships with families and wider services as one of the Department for Education鈥檚 .听
Universal support聽
Demonstrating adaptive teaching in the classroom is important in showing how all pupils are supported and included in wider school life, which includes being able to access the curriculum along with their peers.听
It鈥檚 likely you鈥檒l need to provide samples of pupils' work 鈥 these show Ofsted the progress pupils have made, but also that they have access to the curriculum.听
How can schools produce this evidence?聽
Scrambling to create and find all these records when your Ofsted inspection rolls around means extra work for staff and a waste of valuable time.听
Using the right tools throughout the year means that when it is time for your inspection, all the evidence you need not only already exists, but is easily accessible, up to date and all in the same place 鈥 this takes a huge amount of pressure and stress away from staff.听
Software like 糖心Vlog Provision Map supports schools to map and manage SEND provision effectively and efficiently, streamlining admin and making it easier to record support provision and evidence impact.听
It also simplifies communication with parents, students and external agencies, so everyone can be involved in pupil progress 鈥 and automatic logs mean you can easily evidence all communication.听
Keeping all of this in one platform means records are easy to find and up to date when it is time for your Ofsted inspection.听
Having one central record of all support in place, both universal and targeted, enables you to demonstrate how you鈥檙e putting your inclusion strategy into practice 鈥 as well as how you are working in line with the DfE鈥檚 7 principles of inclusion, such as implementing evidence-based support and building partnerships with families and wider services.听
