An AI prompt that drafts IEP progress report notes and a family-friendly version from your goal data, built for US special education case managers.

Progress reports come due every grading period, and writing a fresh note for every goal on a caseload eats a whole planning period or more. I built this prompt to speed up my own. You type in one goal, the baseline, and your data points, paste it into the AI tool your district allows, and get a first draft to check and edit.

What the prompt gives you back (8 labeled sections):

  • A PII check, so the AI flags anything identifying before it writes
  • A data snapshot table: baseline, most recent data, goal criterion, and trend
  • A draft progress rating with a reason based only on your data (you make the final call)
  • An objective progress report narrative
  • A warm, plain-language family version (you can ask for short, phone-friendly, translation-app friendly, or written to the student)
  • Ideas for next period
  • Flags for the team, including a heads-up when data suggests the student may not meet the goal

What鈥檚 inside:

  • The copy-ready prompt, as a PDF page and a plain text file that copies cleanly
  • How to use it with ChatGPT, Claude, Grok, or Gemini
  • A NO STUDENT PII guide with quick de-identify swaps
  • A Goal Data Worksheet and data tally that match the prompt鈥檚 5 brackets
  • A Weak vs. Strong input guide
  • 2 sample outputs (fictional students) so you can see what a first draft looks like. The prompt, worksheets, and checklists are written by me; the samples are AI drafts, shown unedited.
  • A review checklist for AI drafts before anything goes home

Great for:

  • Case managers with big caseloads
  • Transition and 18 to 21 program teachers
  • New SPED teachers learning to write objective progress notes
  • Anyone who wants a family-friendly version without writing it twice

Please note: never enter student names or identifying information. Follow your district鈥檚 AI and data privacy policy. Outputs are drafts. Check every number against your data. The IEP team makes every decision. This is not legal advice.

Written by a transition coordinator with AI assistance; outputs are drafts for the IEP team.

Pair it with: my IEP Transition Goal Writer AI Prompt for the transition section of the IEP.
